This policy explains how MJDS Labs Ltd collects, uses, and protects your personal data when you contact us or use this website.

1. Who we are

MJDS Labs Ltd (“we”, “us”, “our”) is the data controller responsible for your personal data under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

2. What data we collect

We only collect personal data that you actively provide to us.

  • Contact form: name, email address, subject, message content.
  • Vacancy application form: full name, email, phone (optional), LinkedIn URL (optional), area of interest, availability, message, and any CV / portfolio file you upload.
  • Email & WhatsApp: anything you choose to send when contacting us directly.
  • Server logs: standard technical data your browser sends (IP address, browser type, timestamp) which our hosting provider keeps temporarily for security and abuse prevention.

3. How and why we use your data

We process your personal data for specific, limited purposes and only where we have a lawful basis to do so under Article 6 UK GDPR.

Legitimate interests — running and growing our business and replying to people who contact us.
Assess job applications
Taking steps at your request prior to entering a contract; legitimate interests in recruitment.
Send project-related emails after engagement
Performance of a contract with you or your organisation.
Keep the site secure & prevent abuse
Legitimate interests in maintaining service integrity.
Comply with legal, tax, and accounting obligations

4. Who we share it with

We do not sell your personal data. We share it only with trusted providers who help us run the business, under written contracts and appropriate safeguards:

  • Our hosting and email delivery providers.
  • Cloud storage used to store CVs and project communications.
  • Professional advisers (accountants, lawyers) where strictly necessary.
  • Public authorities and regulators where we are required by law.

Some of these providers may process data outside the UK. Where they do, we rely on adequacy decisions, the UK International Data Transfer Agreement, or equivalent safeguards approved by the ICO.

5. How long we keep it

  • Contact enquiries: kept for up to 24 months after the last interaction, then deleted.
  • Unsuccessful job applications: kept for up to 12 months, then deleted (or longer with your explicit consent so we can contact you about future roles).
  • Client / engagement records: kept for up to 7 years after the end of the engagement to comply with UK tax and accounting law.
  • Server logs: kept for short technical periods (typically 30–90 days).

6. Your rights

Under UK GDPR you have the right to:

  • Access the personal data we hold about you.
  • Have inaccurate data corrected.
  • Request erasure of your data (the “right to be forgotten”), subject to legal retention obligations.
  • Restrict or object to processing.
  • Request portability of data you provided.
  • Withdraw consent at any time where we are relying on consent.

7. Cookies & analytics

This website does not currently use marketing cookies or third-party analytics that profile you. Only strictly necessary cookies (if any) required for the site to function are used. If we introduce analytics or marketing cookies in the future, we will update this policy and ask for your consent through a cookie banner first.

8. Security

We use appropriate technical and organisational measures to protect your data, including encrypted transport (HTTPS), access controls on our systems, and provider-managed encryption at rest. No system is perfectly secure, so we also commit to notifying you and the ICO without undue delay if a personal data breach is likely to result in a risk to your rights and freedoms.

If you are unhappy with how we have handled your personal data, please contact us first at hi@mjdslabs.com so we can try to put it right.

You also have the right to complain to the UK Information Commissioner’s Office (ICO): ico.org.uk/make-a-complaint.

10. Changes to this policy

We may update this policy from time to time. The “last updated” date at the top of the page will always reflect the current version. Material changes will be highlighted on this page.
